Full-time Bookkeeper & Payroll (Closed)

Montessori Community School is looking to add a new member to our office team. The ideal candidate will be well organized and comfortable dealing with financial data. This individual will be responsible for overseeing the accounts payable and receivable, processing payroll, maintaining employee benefits and conducting other tasks related to finance, such as tuition billing. This position requires clear communication with parents and fellow team members. The ability to set and achieve goals is imperative. 


  • Daily use of QuickBooks to manage finances for a locally owned private school
  • Perform and report monthly bank reconciliations in a timely manner
  • Maintain and manage controls to ensure accurate financial reports
  • Query and generate financial reports including P/L, A/R, A/P for monthly close and budgeting
  • Generate and manage all tuition invoices utilizing QuickBooks and FACTS Tuition Management Systems (would like to synchronize these two systems)
  • Collect W9s, issue 1099s, prepare 1096
  • Ensure all records and supporting documentation is available and filed
  • Accurately manage and submit semi-monthly payroll reports using Paylocity, including timesheets, deductions, reimbursements, retirement contributions, etc.
  • Assist with onboarding tasks for new and continuing employees
  • Maintaining employee benefits and assisting with employee inquiries related to benefits

 Core Competencies

  • Team player with a positive attitude toward others
  • Solid understanding of Account Payables, Account Receivables, Profit and Loss, Reconciliation, Client Billing, and Financial Projections
  • Must be well-versed with QuickBooks Desktop
  • Some experience with basic HR administrative duties
  • Knowledge of local and federal employment labor laws
  • Must be able to work with a staff that may not have financial acumen
  • Capable of taking the lead, working independently
  • Capable of implementing procedural improvements for internal controls

 Experience Required

  • QuickBooks 2+ years (certification preferred) - the school is working towards moving from QuickBooks Desktop to QuickBooks Online so experience with this transition would be advantageous
  • Bookkeeping: 3 years minimum
  • Payroll for small-medium sized business 1+ years


  • Salary: $40,000 - $50,000 DOE
  • Job Type: Full-time (in-person / on-site)
  • Authorized to work in the United States (Required)
  • Ability to pass a background check.
  • Position is available immediately.
